Quick answer: Grandstream UCM6300 systems can automatically record calls associated with selected extensions, trunks, inbound routes, outbound routes, ring groups, IVRs and call queues. What about SFTP and backup storage? SFTP Data Sync can automatically synchronize CDR records, recordings, voicemail and fax data to a remote server. Scheduled backup tasks can also target NAS, SFTP, USB, SD card or Amazon S3. These are valuable secondary copies, but they should be distinguished from the active location where the UCM writes each new recording.

Where can automatic call recording be enabled?

Use the narrowest scope that reliably captures the required conversations. This reduces unnecessary personal data, storage use and review workload.

Extensions

Record calls handled by selected employees or functions, such as a complaints officer, order desk or treasury user.

VoIP and analogue trunks

Record calls using a particular business line or service provider connection when the whole channel is in scope.

Define the recording and retention policy

Before changing the PBX, document exactly what the organisation intends to record and why.

  • Identify in scope extensions, trunks, queues and routes.
  • Decide whether recording is automatic, manual or both.
  • Confirm the approved notice or consent process.
  • Define retention, access, download, deletion and legal hold responsibilities.
  • Estimate monthly storage and growth with a safety margin.

Update safely and set the correct clock

System Settings → Time Settings

Confirm the correct time zone and NTP synchronization. Accurate time is essential because CDR retrieval, evidence review and exported reports depend on reliable timestamps.

Before any firmware update, create and securely retain a full UCM backup. Grandstream's current firmware page should be checked for release notes and model specific instructions.

Connect and verify the storage device

For USB flash, HDD, SSD or SD card, connect the device to the appropriate UCM port and confirm that the system detects it. Use storage that is dedicated to the PBX wherever possible.

For NAS, create a dedicated share and a service account with access limited to the required folder. Keep the NAS and UCM on a protected network segment with reliable connectivity.

  1. Enable NAS recording functionality.
  2. Enter the NAS IP address in Host. The current manual notes IP address support for this field.
  3. Enter the Folder Path for the recording share.
  4. Enter the dedicated NAS username and password.
  5. Select a Security Mode supported by the NAS. The current default is NTLMSSP.
  6. Save, apply and confirm that Status shows Mounted.

Select the active recording path and failover priority

PBX Settings → File Manager
  1. Locate Recording Files.
  2. Select Local, the detected USB device, NAS, SD card or eligible GDMS Cloud Storage as required.
  3. If using multiple targets, enable Auto Change and arrange the Storage Path Priority.
  4. When moving from Local to supported external storage, use Migrate Local Recordings if existing files must be copied. The current manual states that migration copies the files and does not delete the originals.
  5. Save and apply the configuration.

Configure an external disk usage alert so the IT team is warned before space becomes critical.

Enable encryption for stored recording files

PBX Settings → Security Settings → Data/File Encryption
  1. Select call recording files among the data types to encrypt.
  2. Save the encryption setting. Newly created files will then use the policy.
  3. If older recordings also require encryption, select the applicable stored file type and run the encryption action.
  4. Export the secret key, protect it with a strong password and store it separately in an approved secure location.
  5. Test an authorised offline decryption using Grandstream's UCM63xx CDR/Recording Decryption Tool.

Critical: if the encryption key is changed, export and secure the new key. Without the correct key file and its password, downloaded encrypted recordings may not be recoverable.

Enable automatic recording at the correct scope

Choose one or more of the following paths. Open the relevant item, enable Auto Record, save and apply.

Avoid enabling overlapping policies without testing. A call may touch several objects during its journey, so confirm the resulting recording behaviour for transfers, forwards, queues and external destinations.

Configure controlled manual recording

PBX Settings → Feature Codes → Start/Stop Call Recording
  1. Confirm or change the feature code. Grandstream documents *3 as the default.
  2. Choose whether the code is allowed for the caller, callee, both sides or disabled.
  3. Enable the Recording Whitelist.
  4. Add only the extensions authorised to use the manual recording function.
  5. During an active call, the authorised user dials *3 followed by # or Send to begin recording, then repeats it to stop. Recording also stops when the call ends.

Create least privilege access for reviewers

Maintenance → User Management → Custom Privilege
  1. Create a role such as Recording Reviewer.
  2. Grant only the required CDR Records, CDR Recordings or Queue Recordings modules.
  3. Leave Allow Deletion of CDR Recordings disabled for reviewers who only need to search, play or download.
  4. Create or edit the reviewer's account and assign this custom privilege.
  5. Enable multi factor authentication for administrative users and use unique accounts rather than shared credentials.

Add synchronization, backup and retention tasks

Maintenance → Backup → Data Sync

To synchronize recording data to an SFTP server, enable Data Sync, enter the SFTP account, password, server address, destination directory and daily synchronization time. Test connectivity before saving, then perform an initial manual synchronization.

Schedule backups and approved cleanup tasks so capacity management follows the written retention policy. Never enable automatic deletion until the date logic, legal hold process and secondary copy have been tested.

Run a production acceptance test

  • Make inbound, outbound and internal test calls for every in scope route.
  • Test queue calls, transfers, forwards and calls that cross multiple recording scopes.
  • Confirm the announcement or consent workflow where required.
  • Verify timestamp, caller, callee, duration and recording playback.
  • Test search, single download, batch download, encrypted offline decryption and CSV export.
  • Confirm an unauthorised account cannot delete recordings.
  • Check operation logs, storage alerts, synchronization and restore procedures.

Search through CDR

  1. Log in using an authorised reviewer account.
  2. Go to CDR → CDR.
  3. Set a narrow Start Time and End Time window.
  4. Enter the caller number, caller name or callee number if known.
  5. Add Call Type, Status, source trunk, destination trunk, extension group or account code if useful.
  6. Click Filter and compare the remaining records.
  7. Open detailed call information where necessary to review transfer information and the full call journey.
  8. Use the play icon to listen in the browser or the download icon to obtain the WAV file.
  9. Click Download Search Result(s) to export the filtered CDR entries as CSV.
Bulk or storage view

Use Recording Files

  1. Go to CDR → Recording Files.
  2. Select the correct storage location, such as Local, USB or mounted NAS, as available.
  3. Select the recording category, such as call, queue or conference recordings.
  4. Sort by Caller, Callee or Call Time.
  5. Select individual files and click Download, or use Download All only for an approved bulk export.
  6. If external storage contains more than 5,000 files, use Scan to retrieve additional file information.
  7. For queue specific reviews, also check Basic Call Features → Call Queue → Queue Recordings.
  8. If file encryption is enabled, use the official decryption tool with the correct exported key and key password.

Preserve an evidence package. For a significant call, retain the original downloaded recording, the filtered CDR CSV, the request or case reference and a short access note stating who retrieved it, when and for what approved purpose. If evidential integrity matters, your compliance or forensic procedure may also require a cryptographic hash, read only storage and documented chain of custody.

How UCM6300 helps prevent unauthorised access or deletion

No single protocol prevents every deletion. Protection comes from layered identity, privilege, encryption, logging, network and storage controls.

Role based privileges

Custom privileges can separate CDR Records, CDR Recordings and Queue Recordings access. The deletion permission for CDR recordings can be withheld from reviewer accounts.

MFA, unique administrator accounts, login timeouts, failed login limits and IP banning reduce the risk of compromised web access.

The Super Administrator can review date, username, source IP address, result, page operation, specific operation and remarks for web interface activity.

Data and file encryption

Recordings on internal or attached storage can be encrypted. Offline access then requires the correct key file, its password and Grandstream's decryption tool.

HTTPS, TLS and SRTP

HTTPS protects web administration, TLS can protect SIP signalling and SRTP can protect supported voice media in transit. These controls do not replace file permissions or retention safeguards.

NAS

Independent storage controls

A properly designed NAS or archive can add restricted service accounts, network segmentation, snapshots, immutable retention or write once controls outside the UCM where required.

Important security limitation: the UCM's custom privilege and audit features reduce unauthorised deletion risk, but they do not by themselves create tamper proof or regulator compliant retention. A privileged administrator may still have powerful access, and operation logs are not a substitute for an independently protected archive. For strict compliance, design the NAS or archive controls with the customer's security and compliance team.
