Prerequisites to Setup Grandstream UCM PBX

  • Local Network Access: Ensure the UCM PBX is powered on and plugged into your network switch/router using an Ethernet cable.
  • A Computer: You need a PC connected to the exact same local network to access the web interface.
  • SIP Trunk or Landlines: Have your credentials ready for your VoIP provider (like Jazz Enterprise) or physical PTCL analog lines (for FXO ports).

Step-by-Step Guide to Setup Grandstream UCM PBX

Follow these foundational steps to get your PBX up and running securely on your network.

Access the Web Interface

  1. Look at the LCD Screen on the front of your UCM to find its assigned IP Address.
  2. Type that IP address into your computer's browser (e.g., https://192.168.1.100).
  3. Bypass browser security warnings (normal for local IPs).
  4. Log in using the default credentials. Username: admin. The Password is printed on the sticker underneath the physical device.

Run the Setup Wizard

  1. The system will immediately prompt you to Change the Password. Choose a strong one!
  2. Follow the Setup Wizard to configure your network. We highly recommend assigning a Static IP Address.
  3. Set your Time Zone to Asia/Karachi to ensure call logs are accurate.
  4. Define your extension range (e.g., 1000 - 1999) and save.

Create User Extensions

  1. From the dashboard, navigate to Extension/Trunk > Extensions.
  2. Click the Add button to create a new SIP extension.
  3. Assign a number (e.g., 1001), a user name (e.g., "Reception"), and a strong SIP password.
  4. Save and repeat for your team. You will use these credentials to register physical IP desk phones.

Configure Analog Landlines

  1. Plug your PTCL or local landline into an FXO Port on the back of the UCM.
  2. Navigate to Extension/Trunk > Analog Trunks and click Add.
  3. Select the correct FXO port and name the trunk (e.g., "Main PTCL").
  4. Configure the inbound route to direct calls from this specific line to your receptionist or IVR menu.

Setup IVR (Auto Attendant)

  1. Go to Call Features > IVR and click Add.
  2. Name it (e.g., "Main Menu") and upload your custom voice prompt ("Thank you for calling TekkPak. Press 1 for Sales...").
  3. Under Key Press Events, map '1' to your Sales Ring Group, '2' to Support, etc.
  4. Go to Inbound Routes and set your destination to this new IVR so callers hear it immediately.

Configure the Wave App

  1. Ensure your UCM is connected to RemoteConnect (GDMS) for secure remote access without VPNs.
  2. Go to a User's Extension settings and click Send Email to dispatch their welcome credentials.
  3. Have the user download the Grandstream Wave app on iOS, Android, or via Desktop WebRTC.
  4. Open the app and scan the QR Code from the welcome email for instant, zero-touch auto-configuration.

Set Up Outbound Routes

  1. Go to Extension/Trunk > Outbound Routes.
  2. Create a dialing rule to allow internal extensions to call external numbers.
  3. For example, define a pattern (like pressing '9' before the number) that triggers the PBX to push the call out through your PTCL or SIP Trunk.
  4. Set appropriate privilege levels so only authorized extensions can make international calls.

Backup & Security

  1. Navigate to System Settings > Security > Fail2ban to enable automatic IP blocking for failed login attempts.
  2. Ensure your PBX is placed behind a secure network firewall.
  3. Go to Maintenance > Backup to schedule automated weekly backups of your PBX configuration to an external drive or network location.
  4. Apply Changes at the top right of your screen to push all configurations live!
